First time at a Johor Bahru homestay? How eKYC, the door code and parking registration actually work

Three things stand between you and the unit at a JB condo homestay: the guard house wants your identity and plate, the smart lock wants a code you set yourself, and the deposit is due on arrival day. The full timeline from booking to check-out.

Checking in to a Johor Bahru homestay for the first time means satisfying three separate parties: the guard house needs your identity (eKYC or a photo of your IC/passport) plus your car plate, the smart lock needs a 4–9 digit code you set yourself that only works from check-in time (usually 15:00) to check-out time (usually 12:00), and the deposit (usually RM200) is due on arrival day. Do all three the day before and arrival day is: show QR, press code, walk in.

Most "self check-in" articles on Google are written by software companies and explain smart locks in general. Malaysian homestay pages, on the other hand, still describe filling in a form at the guard post, collecting a key and a parking pass, and paying an RM100 key deposit. Neither describes what actually happens at a Johor Bahru condominium today, where the guard, the door and your car are each handled by a different system. We manage over 100 homestay units in Johor Bahru and Desaru, and almost every "I'm here but I can't get in" call comes down to one of the three steps below being skipped. Here is the real order, and what happens when each step is missed.

Notice what is missing: there is no key to collect, no plastic parking pass, no RM100 key deposit. Everything the guard needs lives on your phone.

What is eKYC and why does a homestay want my IC?

eKYC is electronic identity verification: you photograph your Malaysian IC (or passport) and take a selfie, the system matches the face to the document, and that record becomes your gate pass. It is not something we invented – it is a building management requirement. JB condominiums that have been burned by parties and overcrowded units want to know who is coming in, not just "the guest in 12-08".

Whether eKYC is compulsory for your stay depends on the building, not on us:

  • Buildings on our own guard system (AntlerQR): building management can tick "require eKYC + ID photo before entry", and it is on by default. In these buildings you will see an eKYC step in the portal, and the "fill in manually" form only appears after verification is done.
  • Buildings on third-party guard apps (i-Cares, Veemios, eCommunity and the like): those apps have no eKYC concept. All they need is a name, unit number and plate. You will not be asked for eKYC.

No Malaysian IC? Choose passport – one photo of the main page is enough. Choosing IC requires front and back. The upload rejects anything that is not an identity document. Verification is done by the guest checking in; we do not require everyone in the group to do eKYC, but the guest count on the booking must be right – here is what happens when the headcount at the gate doesn't match.

Once identity is done, two things happen automatically: your gate pass (a QR code for the guard, with your plate printed on it) is created, and a guest portal account is opened for you with a temporary password emailed over.

When do I get the door code, and why doesn't it open at 2 pm?

This is the most common question, and the answer surprises people: the code is not sent to you – you set it yourself in the portal, 4 to 9 digits, and it only works during the stay: from check-in time on the check-in date to check-out time on the check-out date. The defaults are 15:00 in and 12:00 out (some units differ – check your booking page).

So a booking made in March for June will not open the door in March. And if you arrive at 14:10 on check-in day, the code is not live yet. That is not a fault; the unit may still be being cleaned for you. If it is ready early you will receive a "unit cleaned and ready" message – follow whatever that message says.

In the portal, the Door Code and QR Gate Pass tiles are visible before check-in but greyed out; they come alive at check-in time. From there:

  1. Open the portal, tap Door Code, choose or check your code.
  2. At the door, touch the keypad so it lights up, enter the code, press # (follow the unit guide – lock models differ slightly).
  3. Won't open? Don't try ten times. WhatsApp us – on units with a gateway we can open the door remotely from the office, and otherwise we video call and walk you through it. We have written about the time we did not do this well enough.

At check-out, the system deletes the code automatically after check-out time with a short grace period – a guest still packing at 12:05 is not locked out. If you paid to extend, the code follows the new date, not the original one.

How do I register my car, and how many can I bring?

In the Arrival step of the portal you pick Grab or Car. Pick car, enter your plate. Two limits to know:

  • Number of plates = number of parking bays for that unit, maximum 2. A unit with one bay accepts one plate. A unit with no bay at all will not even show the Car option – that is your clear signal to come by Grab or find public parking.
  • Plates are entered in capitals with no spaces: JXX1234. Motorcycles do not count as parking plates.

The plate goes straight onto your QR gate pass, so the guard sees the same plate you registered. The second car that "came along" unregistered is the number one reason families get stuck at the gate – we covered it in the family checklist. The unit's parking details (which floor, which bay) are on the Parking tile in the portal.

How much is the deposit, when do I pay, when do I get it back?

The default deposit in our system is RM200 per booking, whether you booked through Airbnb, Agoda, Booking.com or directly with us. It is collected on arrival day through the portal – FPX, credit/debit card, Apple Pay, Google Pay, Touch 'n Go, GrabPay, ShopeePay, or bank transfer with proof. The "deposit due" message on the morning of arrival is that reminder.

Two things other operators rarely write down:

  • Repeat guests with a good score can be waived. After each stay we score the guest 0–10 (care of the unit, communication, payment, cooperation). A guest with a long enough record and a high average does not pay a deposit any more – the scoring system is explained here.
  • Deductions must have photos. Our staff cannot file a deposit claim without uploading at least one photo. If you ever receive a deduction notice with no photo, that is not our process – ask for the photo.

Refunds can be scheduled by the system, and payment gateway fees are netted from the refunded amount (for example, you paid RM206 including a 3% fee; the refund depends on the method chosen). The exact figure is in your portal, not in anyone's head.

The sweet spot for eKYC is 3 days before arrival. Doing it on arrival day works, but if the IC photo is blurry and needs redoing, you are redoing it at the roadside with tired kids.

Can I check in early or check out late?

Early check-in: we do not officially sell early slots. You tell us your estimated arrival time in the portal (default 16:00), and if the unit is ready earlier you get a "ready" message and can go in as that message says. Not guaranteed – the guest before you may only have left at 12:00.

Late check-out: our system gives one of three answers depending on that day:

The most common first-time mistakes

  • Doing eKYC on someone else's phone. The portal account is tied to the verified identity; if the wife does eKYC but the husband drives and holds the phone at the gate, the QR pass is on the wrong phone.
  • Setting a door code, then forgetting it. You chose it; we don't see it and don't memorise it. It is in the portal – check before you get out of the car.
  • Registering one plate, arriving in two cars. See parking above.
  • Arriving at 13:30 and pressing the code repeatedly. It isn't live yet; wait for the "ready" message or 15:00.
  • Paying the deposit at the door. Possible, but FPX hanging in a lobby with weak signal is the longest five minutes of any holiday. Pay in the morning.

Direct booking or platform – is check-in any different?

Not for any of the steps above: eKYC, code, plate and deposit are the same on every channel.
